General Description
The Transportation and Administrative Assistant serves as a member of the operations team. The role requires the person to carry out assigned tasks in relation to the overall administrative assistance with daily tasks and support ongoing future projects within transportation areas of operation. Additionally, supporting and collaborating with the front office. The transport administration assistant reports to the Head of Transportation and works under the direction of and guidance of the Transportation Administrative Manager.
This is a 80% position on a 8-month contract running from mid-August/September 2026 through to April 2027.
You need to have the right to live and work in Switzerland (CH/EU passport).
The Transportation & Administration Assistant is expected to:
General
- Liaise and assist the transportation team with all administrative matters
- Responsible for the Transportation Bulletin
- Assist and guide the transportation fleet of drivers with Abacus set-up and administrative processes
- Provide cover for absences within the transportation team
- Support PDW (Personal Development Week) transportation arrangements
- Assist with the delivery with future transportation e-projects
- Be the point of contact for data entry, documentation, processes and policies maintenance, clerical tasks (including translation of internal/external communications for the transportation team), general assistance (including IT matters and general translations), as well as for any concerns staff members may have in relation to operations
- Liaise with Human Resources for staff-related matters, including recruitment, extra hours and absences
- Assist with various inventories and oversight of orders for transportation and liaise with the purchase manager, as required
- Responsible for updating and maintaining the transportation portal on the schools website and providing social media content to the Marketing Manager
- Responsible for driver training coordination and matrix
Communication and Training
- Liaise and communicate with the Bus Drivers and Bus Drivers Focus Group
- Assist in delivering training for the operations team, including training related to Child Protection and GDPR training delivery
- Liaise with ISZL’s nurses with medical concerns
- Liaise, by phone and in writing, with suppliers, parents and staff members
Special Assistance
- Provide assistance and resilience for the Transportation Manager Administration.
Required and Preferred Qualifications
- Good verbal and written communication skills in both English and German languages
- Able to communicate well with students, staff members and parents
- Positive attitude and strong interpersonal skills
- Committed team player with the ability to take initiative
- Able to establish trust and be flexible
- Strong organisational and time management abilities
- Proficiency in using standard office suites for business such as Microsoft Office and Google Workspace
- Outstanding work ethic, including a willingness to work flexibly, when required
- Reliable, resilient, with a ‘can-do’ attitude
