General Description

The Admissions Officer serves as a member of the Admissions Team which is part of the Admissions, and Advancement Team

The Admissions Officer should aim to maximise the student enrolment at ISZL with suitably qualified applicants, in adherence with the school’s admissions policies and other guiding statements. The Admissions Officer is an ambassador for the school, reflecting its values, ethos and culture. The role requires the person to support prospective families with their admission, converting them from prospective families to enrolled families, and supporting them through to their successful transition into the ISZL community. The Admissions Officer reports to the Director of Admissions and Advancement.

This role is a part-time role (80%).


The Admissions Officer is expected to:

Admissions Enquiries & Visits

  • Respond promptly to admissions enquiries providing a welcoming, professional and efficient service that reflects the ethos and culture of the school
  • Present the school to prospective students, parents, relocation agents and other external agencies in a professional and engaged manner, including interviews with prospective families, tours of the relevant ISZL campuses, and arrangements for any relevant admissions-related assessments
  • Identify the key needs and concerns of prospective families, and help them to understand how ISZL could meet those needs and be a good potential fit for them
  • Arrange in-school trial mornings for prospective students
  • Work with the Marketing Manager to optimise the tour experience, both virtual and in person

Application and Enrolment

  • Track applications through Open Apply systematically and efficiently, ensuring regular and timely communication with applicants
  • Secure the necessary application documents to ensure that the applicant’s files are complete and in line with application guidelines, including specialist assessments and contacts where required
  • Work collaboratively with student support services teams and divisional leaders in their evaluation of the applicants suitability for enrolment, as per divisional guidelines and processes. This includes working with EAL teams to arrange assessments where necessary and to ensure school requirements are met. 
  • Support the effective management of enrolment/waiting lists in accordance with the ISZL admissions policies
  • Obtain the necessary approvals for applications using the Open Apply review process
  • Inform families of the outcome of their applications in a timely manner, including the preparation and sending out of offer letters to successful candidates
  • Inform the Business Office of offers made and provide the necessary invoice information to support prompt payment of the required registration fee
  • Support families with their enquiries, prior to the children starting school
  • Support collection of course related choices and assessments prior to the student’s start date

Additional duties

  • Ensure that the appropriate marketing materials are always available at both campuses
  • Support the Admissions Team with the annual re-enrollment process
  • Assist with the organisation of admissions related school events, including but not confined to; New Family Orientations, School Open Days, New Family Director’s Meetings
  • Assist with the New Family Portal design and ongoing updates and development
  • Work with the Director of Admissions and Advancement on the New Family Survey and Admissions communications
  • Substitute for other departmental colleagues in their absence
  • Attend weekly Admissions Committee meetings and monthly departmental meetings
  • Provide support, when required, to other school activities and events connected with the Admissions and Advancement Department

Professional Development

  • Seek out and access regular learning opportunities to facilitate a deep understanding of the curriculum and the programmes offered at ISZL
  • Seek out and access regular learning opportunities to ensure necessary working knowledge of appropriate third party technology platforms including Open Apply, iSAMS, Schoology and Finalsite

Required and Preferred Qualifications

  • Minimum of 3+ years admissions related experience (or similar experience) and an in-depth understanding of international education and/or pedagogy, including student support services
  • Experience of high level networking, commercially aware and results-driven with good business acumen
  • Sales or commercial experience is an advantage
  • High level of integrity, confidentiality and diplomacy
  • Exceptional communication and interpersonal skills and the ability to interact comfortably with a variety of people
  • A team player who has a warm collaborative nature, positive energy and sense of humor
  • Empathy for others and an awareness of the needs and sensitivities of parents, students, faculty, staff and administrators and ultimately be able to manage expectations and deliver admissions decisions in a manner that is honest, caring, and diplomatic
  • Fluent English skills (written and spoken). German language skills would be beneficial
  • Excellent time management and organisational skills
  • Excellent interpersonal skills including the ability to maintain confidentiality
  • Passionate about continuous learning and professional development
  • Highly professional and high ethical standards
  • Ability to work evenings and weekends, as needed, in support of the wider Advancement Team’s initiatives and events
  • Willingness to work outside normal office hours and school vacation, when the situation demands it
